Elections will be at our last PTO meeting of the school year on Wednesday, May 28 at 6:00pm.
Members as of 11:59pm on Tuesday, May 27 will vote for each position.
Based on the latest Bylaws approved at the January 2025, the board positions elections will be staggered. In the 2025 Election, some positions will be elected to one year terms to start the staggering schedule.
Term: July 1, 2025-June 30, 2027
Duties of the President:
Uphold the standards of the CMIT North Elementary PTO Code of Conduct
Preside over all meetings.
Present any new business.
Be custodian of all organization funds, and shall be authorized to disperse funds on behalf of the PTO.
Deposit all monies within 24 hours of receipt.
Be the official spokesperson for the organization.
Act as custodian of all records of the organization.
Deliver to the successor in office, all records in his/her possession by fiscal year end.
Create and publish the annual PTO calendar by the first PTO meeting of the school year.
Submit a written report detailing responsibility and recommendations to the future board by fiscal year end.
Act as contract signing authority.
Term: July 1, 2025-June 30, 2026
Duties of the Vice President:
Uphold the standards of the CMIT North Elementary PTO Code of Conduct
Aid the president.
Perform the duties of the president in the event of that officer’s absence or inability to serve.
Be custodian of all organization funds, and shall be authorized to disperse funds on behalf of the PTO.
Deposit all monies within 24 hours of receipt.
Act as liaison between committee and project chairs with the Executive Board.
Deliver to the successor in office, all records in his/her possession by fiscal year end.
Submit a written report detailing responsibility and recommendations to the future board by fiscal year end.
Manage the recruitment of volunteers for the various PTO committees.
Term: July 1, 2025-June 30, 2026
Duties of the Treasurer:
Uphold the standards of the CMIT North Elementary PTO Code of Conduct
Be custodian of all organization funds, and in the absence of the President and Vice President, shall be authorized to disburse funds on behalf of the PTO.
Deposit all monies within 24 hours of receipt.
Give written monthly financial reports for review at all General Membership meetings and to the Executive Board in months with no General Membership Meeting.
Provide a monthly cash-flow report at Executive Board Meetings.
Prepare a year-end financial report by fiscal year end.
Deliver to the successor in office, all records in his/her possession by fiscal year end.
Submit a written report detailing responsibility and recommendations to the future board by fiscal year end.
Prepare or facilitate the preparation of federal tax forms (Form 990 and/or Form 990EZ) as required by the IRS and submit by November 15 of each year.
Submit an annual report of personal property by April 15 of each year.
Facilitate an annual audit of the financial records and practices during the summer of each year.
Facilitate audits of contractor agreements
Submit monthly and yearly financial statements to the Principal of CMIT North Elementary School.
Term: July 1, 2025-June 30, 2026
Duties of the Corresponding Secretary:
Uphold the standards of the CMIT North Elementary PTO Code of Conduct.
Prepare any correspondence and publicity for the organization as needed, including meeting announcements, weekly newsletter updates, and social media.
Help recruit volunteers, and be responsible for the following:
Conduct the fall and spring PTO Membership Drives.
Maintain the the Approved Volunteer Directory yearly
Chair the Room Parent Committee
Maintain the PTO board within the school lobby area
Deliver to the successor in office, all records in his/her possession by fiscal year end.
Submit a written report detailing responsibility and recommendations to the future board by fiscal year end.
Term: July 1, 2025-June 30, 2027
Duties of the Recording Secretary:
Uphold the standards of the CMIT North Elementary PTO Code of Conduct.
Prepare the agenda for the General Membership meetings with the assistance of the President.
Prepare any materials needed for distribution or reference at General Membership meetings.
Take minutes at Executive Board and General Membership meetings.
Finalize minutes, obtain necessary approvals, and post minutes to the PTO website in a timely manner (i.e 48 hours).
Keep the files of communications, papers, and documents belonging to the organization.
Deliver to the successor in office, all records in his/her possession by fiscal year end.
Submit a written report detailing responsibility and recommendations to the future board by fiscal year end.
